Project Support Coordinator, the new St. Paul's Hospital project
Reporting to the Director of Indigenous Relations and Community Engagement (IRCE), the Project Support Coordinator performs a variety of administrative functions to support the efficient coordination of the office such as organizing engagement data and information and, scheduling appointments, screening, prioritizing, processing and responding to incoming and outgoing correspondence, telephone calls/messages and acts on requests/inquiries of the office consistent with the Mission, Vision, Values and Strategic Directions of Providence Health Care (PHC). This role will also act as a liaison between different groups within the new St. Paul’s project and the IRCE team, ensuring meetings are prioritized according to needs. Performs a variety of technical tasks as required. This role will be supporting the Indigenous Relations and Community Engagement & the new St. Paul’s project, preference may be given to candidates whom identify as Indigenous/First Nations/Metis.
SummaryThe Indigenous Relations and Community Engagement (IRCE) team is newly formed and works with the New St. Paul’s Hospital project team and subcontractors in the design and facility planning for the New St. Paul’s Hospital and Health Campus. The new hospital and health campus will be located on the traditional, ancestral territory of the Musqueam, Squamish and Tsleil-Waututh Peoples.
The IRCE team is committed to working with the local host nations and local communities to ensure patient and family voices are part of the planning, design and improvements for the new facility and in improving the services currently provided through Providence Health Care.
The IRCE is responsible for engagement with Musqueam, Squamish and Tsleil-Waututh Nations, urban Indigenous peoples and First Nations Communities who may access the current and the New St Paul’s Hospital. The team is building relationships with Host Nations, community groups and organizations to develop and implement procedures to advance Indigenous Engagement activities, report findings and inform the project team and the organization to create a culturally safe representative environment for Indigenous Peoples.
What you will do
As a key member of the team for the new St. Paul’s hospital project at Providence Health Care (PHC) you will:
- Perform a variety of administrative functions to support the efficient coordination of the office such as organizing engagement data and information and, scheduling appointments, screening, prioritizing, processing and responding to incoming and outgoing correspondence, telephone calls/messages and acts on requests/inquiries of the office.
- Produces a variety of technical, non-technical and confidential materials such as business proposals, reports, presentation materials, memorandums, formal correspondences, and staff notices
- Act as a liaison between different groups within the new St. Paul’s project and the IRCE team, ensuring meetings are prioritized according to needs.
- Participates in a variety of special projects that may be on-going or time limited focus by performing a variety of project specific functions such as researching information, coordinating activities/initiatives and compiling analytical data.
Recognized Bachelor’s Degree in Business or Project Management with recent related project management experience with facilities projects within a large, complex organization, OR an equivalent combination of education, training and experience.
Other experience like community engagement, project support or combination of experience and education is an asset and will be strongly considered.
Skill and Abilities:
Ability to implement, and demonstrated knowledge of, project management, process coordination, and quality improvement skills.
Ability to conduct detailed research (such as literature and best practice initiatives) and to analyze findings.
Ability to plan, multi-task, organize, problem-solve and prioritize work.
Ability to communicate effectively both verbally and in writing.
Excellent interpersonal skills and ability to work collaboratively with individuals at all levels internally and externally.
Ability to work independently using initiative and judgment.
Ability to effectively use a variety of computerized software, databases and systems such as Microsoft Office 2016 (Word, Excel, PowerPoint, Access)
