All submissions to the UBC PHC REB must be done using the Researcher Information System RISe, except as follows:
Applications, amendments, annual renewals or requests for acknowledgment for research projects originally submitted prior to year 2000, and all Adverse and Serious Adverse Event Reporting, regardless of the original submission date of the project. The current method of paper based reporting Adverse and Serious Adverse Events to the UBC PHC REB remains the same.
To access the RISe system: rise/ubc.ca/rise Guidance Notes and Instructions are included on the RISe Welcome Page.
Initial Access to the Research Information Services system
To access the Researcher Information Services (RISe), all researchers and study personnel must have a Campus Wide Login and Password and a 'Researcher Number'. Previously, the Office of Research Services was required to add the researcher or study personnel information to a UBC database in order to create the 'Researcher Number'.
Obtaining a Researcher Number
UBC has now created a new system for creating the researcher number. Please send your requests directly to ors@ors.ubc.ca
The request should contain the first name and middle initials, last name, salutation, rank, appointment(s), employee ID # if known and email address. For researchers who conduct research at a hospital, please include your main work location, i.e. with which hospital they are affiliated.
New contacts will be added to RISe either automatically from UBC HR (new Faculty Members), or added manually by requests made through ors@ors.ubc.ca. These will be automatically sent to the UBC database twice a day, at noon and in the evening. An automatic notification will be sent to you, letting you know that you have been added to RISe and giving you your researcher number.
Obtaining a UBC Campus Wide Login
Select the following: http://www.it.ubc.ca/cwl/homelink.shtml
When creating this account make sure that your password has at least 8 characters and 1 number. Also when answering the security questions, make sure you don’t include any punctuation eg. Mr. - don’t use a period.
Once you complete this you will receive an e-mail asking you to confirm your login and password. Please confirm this immediately.
Accessing the Researcher Information Services System (RISe) rise.ubc.ca/rise
You will be asked for your CWL account and password as well as your researcher number. Please note that it will only ask for the researcher number the first time you log in - after that you will only need your CWL account
If you require help with accessing the RISe system please contact Qaiser Fahim, Research Ethics Coordinator, by telephone at 604-682-2344 ext 68567 or by email at Qfahim@providencehealth.bc.ca
Institutional Approvals
Providence Health Care
A guidance document for obtaining departmental and clinical unit approvals is currently in draft form, and will be posted on the PHC Research website once finalized. The document will outline the specific requirements that must be met before departments such as the lab, radiology, pharmacy and others will grant approval for a research project. In the interim, please contact Qaiser Fahim, Research Ethics Coordinator, by telephone at 604-682-2344 ext 68567 or by email at Qfahim@providencehealth.bc.ca
Vancouver Coastal Health
Studies taking place within VCH which use patient or other client populations, access medical or other records, or impact VCH clinical or other service resources in any way require a formal Approval to Conduct Research from the HSDA(s) affected. Each VCH HSDA manages this process independently for research projects taking place within their sites. The approval process ensures that all clinical trials involving humans at VCH are reviewed with respect to ethical, safety, legal and physical considerations.
