Summary

Reporting to the Project Manager or designate, the Provider/Student Education Clerk provides clerical support for a variety of activities related to provider/residents/students education. Works with Program Assistants to schedule education, training, and other related activities in accordance with established procedures. Prepares related correspondence, reports and documents from drafts or instruction using standard desktop software. Books meeting rooms for activities such as education and skills training. Maintains training records. Books speakers, arranges equipment, and rooms. Performs other related clerical duties as requested.

Education

Grade 12 and two years’ recent related experience or an equivalent combination of education, training and experience.

Duties

Coordinates with the CST Learning Team to obtain established training availability for instructors and to arrange provider training schedule.

Contacts providers/residents/students to slot into roster/schedule for appropriate areas of the hospital in accordance with established procedures and/or direction.

Reviews training schedule and identifies need for additional timeslots based on provider/resident/student availability. Prepares and distributes email notices, schedules, timetables and agendas as applicable.

Gathers, compiles, monitors and summarizes information regarding training such as enrolment data, attendance and cancellations and provides reports on status updates to the Provider Engagement Specialist.

Contacts providers/residents/students and administrative staff to confirm and/or follow up on scheduling for training to ensure completion of provider readiness activities. Provides user access codes as per established procedures.

Notifies CST Learning team members of cancellations or changes in accordance with established procedures.

Assists with program space planning by identifying space needs. Arranges meetings, and completes room and equipment bookings.

Answers general inquiries by phone or email from providers/residents/students regarding training courses and processes. Forwards complex questions to supervisor.

Utilizes word processing, spreadsheet and graphics software to produce a variety of reports, correspondence, surveys and documents from draft or instruction. Verifies/proofs forms for accuracy and completion. Enters and/or generates reports from applicable databases. Assembles training materials/packages.

Coordinates, receives, reviews, and triages information and documents. Identifies, prioritizes and follows up on items requiring action.

Photocopies, faxes, files and distributes materials.

Performs other related duties as assigned.
