We are currently looking for a Coordinator, Capital Accounting to join the Accounting Team at Providence Health Care (PHC). Reporting to the Senior Financial Analyst, the Coordinator, Capital Accounting is responsible for coordinating the capital accounting and reporting for Providence Health Care (PHC) including the analysis of financial statements, general ledger accounts, and other financial reports for PHC. This position ensures the capital accounting is done in compliance with legislative frameworks and generally accepted accounting principles, and the accurate and timely compilation of information for the external auditors. Other key responsibilities include maintenance of the Fixed Asset Management application and Project Costing database software.

Key working relationships are with General Accounting, Planning & Redevelopment, Bio-Medical Engineering, Plant Services, Foundations, and Capital Acquisition team members, Leaders and Managers in various areas of the organization. Also is responsible to communicate with external clients from other Health Authorities, provincial agencies, Ministry of Health, and Canada Revenue Agency.

Bachelor’s Degree and enrolled in the Chartered Professional Accountants of British Columbia Designation Program.
A minimum of three (3) to five (5) years’ of general accounting and finance experience in a large organization using complex computer systems including experience with project planning and internal controls.


Prepares regular period-end capital reports, summaries and schedules for PHC. Participates in the consolidation of financial statements related to all aspects of capital including the associated capital reports for PHC and all other associated entities.
Generates reporting summaries of capital additions and funding for the Senior Financial Analyst to submit to the Regional Director – Capital Planning at VCH on a timely basis.
Coordinates and reviews the periodic capital acquisitions and funding analysis for the Planning & Redevelopment and General Accounting by methods such as reviewing financial data, making adjustments where necessary, and presenting results to the Manager.
Directs the closing and reconciling of all capital construction in progress accounts by assisting staff with problematic situations, reviewing the reconciliations for accuracy, approving the results, and passing the results on to the Senior Financial Analyst.
Coordinates the compilation of financial information and working papers for the audit files given to PHC external auditors for both the interim audit and the year-end audit ensuring that the information is correct with full supporting documentation and compiled in a timely fashion to meet the tight schedules.
Monitors and reports on billings from various sources such as non-profit funding in the general ledger; follows up on overdue accounts with the funding agencies; prepares and submits grant applications for billable capital equipment and projects.
Handles all aspects of the capital cash receipts including invoice billing, collection, and recordkeeping; reconciling variances between construction accounts, receivable amounts and the total amount of the grant application.
Reviews all capital related Purchase Requisitions ensuring sufficient funding has been secured and related information have been included before release to Capital Acquisition (Purchasing) Department.
Ensures that capital spending is according to budget by comparing actual expenditures to budgeted figures and preparing the committed funds status report.
Maintains the Fixed Assets Manager system for accounting, asset tracking, new additions, donated items, trade-ins, transfers, disposals and payments of all capital assets.
Ensures accurate and timely financial reporting and control of transactions related to capital accounting. Participates in the development and implementation of long and short-term work planning and control procedures to ensure critical period-end and year-end accounting and reporting deadlines are met.
Responds to a variety of capital accounting queries by communicating with various internal departments such as General Accounting, Planning & Redevelopment, Bio-Medical Engineering, Plant Services, Foundations, and Capital Acquisition and Departmental Leaders and Directors.
Produces and reviews a variety of standing and ad hoc reports in accordance with PHC requirements on items such as revenue and depreciation recognition, revenue deferrals and investment results.
Ensures proper maintenance and secured retention of capital fund accounting and fixed asset documents and data.
Performs other related duties as assigned.
